Terms & Conditions (for multi-day tours)

We look forward to your photo tour booking. Please ensure that you have carefully read the Booking Information on the relevant tour webpage, which explains the basic information regarding Itinerary, Booking & Payment, Cancellation Policy, Travel Insurance & Passport and Visas.

To ensure the smooth operation of the tour all tour participants must agree to the standard Terms & Conditions for multi-day tours below; so please read them carefully.

The following terms will have the corresponding meaning: “We” or  “Us” or “Our”  means Fantastic Photos Prague (Douglas Young registered at Mestka Cast Praha 2, Czech Republic. Zivnostensky Business Identification Number: 05862591) and its agents, contractors, representatives and consultants.  “You”, “I” or “participant (s)” means the party or parties identified on the booking form. “Tour” means the photography tour stated on the booking form.

This agreement shall be governed by the laws of the Czech Republic

The tour cost includes only that stated in the tour webpage overview, description, highlights or itinerary.  All other expenses are the responsibility of the participants. The participant expressly acknowledges that the tour cost does not include any airfares, transportation to and from the destination country, Visas, or items of a personal nature.  The tour cost also excludes mandatory insurance coverage for trip cancellation/interruption, travel accident, travel delay, baggage delay, loss or theft, medical, hospitalization or repatriation expenses. We recommend you contact your relevant insurer in relation to the above-mentioned insurance coverage.

All participants are responsible for making their own way to the tour destination starting point.  Travel during the tour is only included when specifically noted in the inclusions list for the tour content.

To secure your booking, we require a non-refundable deposit at the time of booking or full payment if there are less than 90 days to the tour start date. If for any reason you need to cancel your participation in a tour, the following cancellation fees will apply:

91 days or more prior to start date.  Cancellation fee = the non-refundable deposit (per booked participant)

90 – 61 days prior to start date cancellation fee = 50% of the full tour price (per booked participant)

31 – 60 days prior to start date cancellation fee = 75% of the full tour price (per booked participant)

30 days or less prior to start date cancellation fee = 100% of the full tour price (per booked participant)

We reserve the right to cancel any tour at any time for any reason determined in our sole discretion, including if there are too few participants enrolled on the tour, or other unforeseen reasons. In such a case, a refund of all payments received shall constitute full and final settlement. Notice of such cancellation shall be sent by email.

In the event of cancellation, we are not responsible for any loss incurred on account of the participant’s travel arrangements, including flights or other unrecoverable travel costs. It is mandatory that you obtain adequate travel, medical, repatriation and cancellation insurance.

In the event that a tour is cancelled, any refund due will be made only to the same bank account you originally paid from.

Although we rarely cancel tours, we reserve the right to cancel any tour for any reason whatsoever, including too few participants or logistical problems such as strikes, wars, ‘acts of God’, or any other circumstances, which may make operation of the tour inadvisable or unviable, including the safety and security of participants and their equipment.  All tour payments, which were received in relation to a cancelled tour, will be either refunded in full, or at your request, held as credit to another tour. You acknowledge that this is our only obligation to you. We expressly state that we will not be responsible for any costs associated with travel, insurance or any other costs other than the tour cost itself.

If you are forced or make the personal choice to return home early, we cannot refund the cost of any travel arrangements you have not used. If you cut short your tour and return home early, we will not offer you any refund for that part of your tour not completed or be liable for any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment. It is your responsibility to contact your insurer at this time for their instruction and to obtain any receipts locally that are required for your claim.

Before booking a tour, it is mandatory to obtain personal health insurance including emergency medical evacuation/repatriation insurance and emergency medical expense coverage, and trip cancellation insurance, which, may, depending on the terms of your insurance, reimburse you for non-refundable airfare and tour cancellation fees should you have to cancel the trip due to personal or family illness.  Life insurance, baggage loss and baggage delay reimbursement plus other coverage is also advisable.

The tour may be taken by anyone in good physical condition.  As you will have to walk over irregular terrain, and carry equipment yourself, you are encouraged to get in shape by exercising.

In all cases, you should be fit enough to:

  • carry your camera equipment in a small backpack for a whole day
  • walk unassisted for long walks, at a reasonable pace
  • walk unassisted over cobbled streets, climb steps, and walk uphill
  • climb into trains, buses etc with your bags

Once a trip has started and it is necessary for you to leave the trip because it is beyond your physical level, please note that there will be no refunds for any unused portion of the trip.

Age & Fitness

We want to ensure that you or anyone in your booking party enjoy their tour to the fullest.

You must generally be in good health and it is vital that persons with medical problems make them known to us well before the workshop begins.

We should be made aware of any person who requires regular care by a doctor or if aged over 70, we may ask you to provide a doctors certificate to certify you are fit enough to participate in the tour. If you feel you need to provide us with additional details, please email us at the time of booking.

No unaccompanied minors (i.e. those under 18 years of age) can be accepted on tours operated by us. Children between 16 & 18 years of age may travel on select tours provided that they are accompanied by a parent or a guardian who accepts full responsibility for them and subject, in all cases, to our ultimate discretion. You must request in advance of booking if you wish to bring a minor.

You agree to accept the authority and decisions of our employees, tour leaders, and agents whilst on tour with us. If in the opinion of such person, the health or conduct of a client before or after the departure appears likely to endanger the safe, comfortable or happy progress of the tour, the client may be excluded from all or part of the tour, in which case all monies paid will be forfeited and we will not be liable to pay any compensation whatsoever to that client.

Anyone suffering from illness or disability or undergoing treatment for any physical or medical condition which may affect their participation in the tour must declare the true nature of such condition and provide us with full details before you make your booking so that we can try to advise you as to the suitability of your chosen tour. We may require you to produce a doctor’s certificate certifying that you are fit to participate.
Acting reasonably, if we are unable to properly accommodate the needs of the person(s) concerned, we will not confirm your booking or if you did not give us full details at the time of booking, we will cancel it and impose applicable cancellation charges when we become aware of these details, and may result in such persons being excluded from the tour in which case all monies paid will be forfeited and we will not be liable to pay any compensation whatsoever.

It is understood that we assume no liability regarding provision of medical care or provision of medical advice in relation to the tour.  Tour participants are urged to check their insurance coverage to be sure it is adequate and to consult their doctor prior to participating in the workshop.

Where we accept your booking, you must make arrangements for the provision of any medication or other treatment required during the tour.

The tours operated by us have been designed to provide participants with an exposure to the true nature of the environment visited and therefore may involve an element of potential risk and exposure to potential hazards over and above those associated with normal package tours.

All bookings are accepted on the understanding that you appreciate such risks and hazards and that you undertake all tours at your own volition.

The tour may include travel to remote areas, with inclement weather, or within countries, where events are less predictable than is usually the case in, for example, Western Europe or North America. Many of the places visited do not have the same quality of emergency health and safety services that we are used to in the developed world. Transport can be uncomfortable and unreliable, and hotels often do not approach the standards of the West. If you are not prepared for this, you should not travel on these tours. This unpredictability means that the itineraries should be seen as statements of intent, rather than as contractual obligations. A variety of factors, including weather, transport difficulties and political instability, might require changes in any itinerary. The tour leader will make any changes that are necessary. Only rarely will such changes be significant, and every reasonable effort will be made to minimise the effects of the enforced changes. No liability can be accepted for the results of changes or delays, irrespective of how they are caused.

It is your responsibility to check your insurer policy inclusions and you accept full responsibility for obtaining full comprehensive travel insurance for all activities as outlined with in our documentation or for any service you may arrange locally whilst on holiday with us.

All participants in tours operated by us are expected to obey the laws and regulations of the countries visited and any failure to do so may relieve us of all obligations that we may otherwise have to you.

This section defines our responsibility with respect to all of our multi-day tours.  PLEASE READ IT CAREFULLY.  Payment for your booking represents your acceptance of all terms and conditions outlined anywhere within this website.  The tour application must be completed for each and every person booking a tour. The online tour application on which you tick the box accepting the terms and conditions will further represent your acceptance of these terms and conditions.

By accepting this document you hereby accept that we have no liability for any damages, losses, or expenses of whatever cause or nature, including those resulting directly or indirectly from acts of God, detention, annoyance, weather, quarantines, strikes, civil disturbance, theft or criminal activity of any kind, government regulations, etc., over which it has no control.

Without limiting the above paragraph, we shall have no responsibility for additional expenses due to unforeseen delays caused by weather, theft or criminal activity of any kind, political disputes, acts of terrorism, strikes, sickness, failure of your flights or other transportation to arrive or depart on time, and other causes beyond our control.

We are not responsible for additional hotel nights not specified in the tour itineraries which may be required en route, prior to or following a trip, caused by your airline scheduling or schedule changes, or by individual participant’s travel arrangements or by other factors.  We cannot assume any responsibility for loss or damage to baggage or personal property.

We reserve the right to substitute hotels, facilities, transportation (when included) and to alter the itinerary when deemed necessary or advisable.  The right is also reserved to cancel any workshop prior to departure upon the refund of all payments received, which shall release us from further liability.  We are not responsible for additional expenses incurred by tour participants in preparing for the tour (i.e. non-refundable advance-purchase air tickets, equipment, etc.)

We reserve the right to decline to accept or retain any person or participant of any trip should such person’s actions or general deportment impede the operation of the trip or the rights or welfare or enjoyment of other members of the tour, and it is agreed that no refunds will be given in such circumstances.

We reserve the right to take photographic, film or video records of any of our trips, and may use any such records for promotional and/or commercial purposes without the requirement for a signed release from any members captured in film or digital media.

By booking a tour you agree to us storing your name, email address (and phone number if provided) for the purpose of managing your booking. Your details will not be sold or passed on to anyone. We reserve the right to use data given to us for marketing and research purposes.

We reserve the right to add you to our mailing list to inform you of upcoming photo tours or other offers. You may request that we remove your name from the list at any time.
